When Should You Start Looking for a Venue?
You can start looking for a venue for your event at any time you prefer. However, the earlier you start, the better it would be. Find out how many people you will be expecting at your event and the amenities you would require to determine the suitability of the venues you would come across.
The best time to start searching for a venue is months before your event is due. When it comes to booking, give yourself at least 4 to 6 months in advance. When you book in advance, you will have ample time to address other critical things related to the event, such as websites, brochures, and catering. Consider the following when searching for an event venue:
i) Where is the venue?
You probably already have an idea of where you would like the venue to be located. For example, if you are planning a local event, you want the venue to be easily accessible by majority of the attendees. Choosing a venue that is near the airport or a hotel would make sense if you expect most attendees to visit from out of town. When evaluating various venues, consider things such as traffic and parking options.
ii) Is there adequate parking space?
It is also important to check the parking space available at the venue. The best venue to book would be one that has a secure parking area. If you cannot find such a venue, then it would be helpful if there are parking lots that attendees can use not far from it. You may also go ahead and reserve the parking space of the nearby establishments for your guests.
iii) What is the venue’s capacity?
The last thing to consider is the capacity of the venue. For example, you should know how many people can fit in the venue at a time. Choose a venue that is spacious enough to accommodate all the visitors you expect. Moreover, you have to follow the local safety and fire regulations.
